FAQs

Travel Documentation/Proof of Citizenship

Do I need a passport or visa? Can I be denied entry if I have a minor criminal background?

Proper documentation is your responsibility. The following information gives current requirements for United States citizens, effective at time of printing. This information may change, so see your travel agent or contact the consulate for the country to which you are traveling for current requirements. Passengers returning to the U.S. by air from any international destination must have a valid passport, and may be denied boarding by the airline if the passport is damaged, mutilated, or has excessive wear. A “Passport Card” is not acceptable. If your name on your passport (or for non-U.S. citizens, valid travel documents) does not match your name on your travel vouchers/ tickets, you will not be allowed to travel. A passport valid for a minimum of 3 months past the date of arrival is required for U.S. citizens traveling to Panama, and 6 months past the date of arrival for Nicaragua. Passports are NOT required for Hawaii, Puerto Rico, and the US Virgin Islands, as well as our domestic ski/mountain destinations. For details on how to obtain a passport, contact your local courthouse or post office. If you are not a U.S. citizen, contact the embassy of the country to which you are traveling to determine required entry documents. We regret that we cannot accept unaccompanied minors under 18 for any travel. Failure to comply with the above requirements will result in you not being allowed to travel. Certain countries may deny entry to travelers with even a minor criminal record, and if not a U.S. citizen, entry back into the U.S. Check with the U.S. Embassy and the embassy or consulate of the country being visited to ensure you can travel as planned. Apple Vacations does not accept responsibility if you are denied entry and cancellation penalties apply.

What is the Real ID ACT?

Passed by Congress in 2005, the REAL ID Act established minimum ID security standards and prohibits federal agencies, like TSA, from accepting licenses and identification cards for official purposes from states that do not meet these standards. Passengers traveling domestically with a driver’s license issued by a state that is not compliant with the REAL ID ACT (and has not been granted an extension) will need to show an alternative form of acceptable identification for domestic air travel to board their flight. To check whether your state is compliant or has an extension, click here. If your state-issued ID or driver’s license is not compliant, click here for alternate forms of acceptable ID.

Baggage

Carry-on/checked baggage restrictions when departing Dominican Republic

• Medication: Security personnel are directing passengers to put all medicine in their checked bags, unless you have a doctor's note or the medication is in the container provided by the pharmacy with the proper pharmaceutical label.

• Coffee and spices: Passengers are being directed to dispose of, or pack in their checked baggage, coffee beans/ground coffee, spices and the other items listed below. These items are no longer allowed through security. Once through security, you may purchase these items and bring on the aircraft.

• Alcohol: Alcoholic beverages may be carried in checked Luggage only if it contains more than 24% but less than 70% by volume of alcohol, in containers not exceeding 5 liters, with a total net quantity per person of 5 liters of such beverages.

• Liquids/Aerosols/Gels (LAG)- Liquids, aerosols and gels cannot be over 100 ml.(3.4oz) and must be packed into a transparent releasable plastic bag. Passengers may only carry one such bag and must present it separately from their luggage before being inspected.

• Baby liquids such as milk, creams, formulas, and lotions may be allowed in quantities of more than 100 ml per package, the contents of which must be verified.

• Substances in the form of powder (including baby formula) may be carried in hand luggage provided that its contents are checked and do not exceed 12 ounces (350ml)

What can I pack in my checked vs carry-on luggage?

Do not pack cash, medication, important documents, valuables or fragile items in your checked luggage. Homeland Security now requires that all electronics larger than a cell phone are subject to a secondary screening at select airports. If in disrepair (broken screen, etc.), these devices will not be allowed through security. Cases must be removed and placed in their own bin for (round-trip) screening. The U.S. Department of Transportation, with the Federal Aviation Administration and the Pipeline and Hazardous Materials Safety Administration, have issued an emergency order to ban all Samsung Galaxy Note7 smartphone devices from air transportation in the United States. Individuals who own or possess a Samsung Galaxy Note7 device may not transport the device on their person, in carry-on baggage, or in checked baggage on flights to, from, or within the United States.

New carry-on/checked baggage restrictions when departing Dominican Republic:
Medication: Security personnel are directing passengers to put all medicine in their checked bags, unless you have a doctor's note or the medication is in the container provided by the pharmacy with the proper pharmaceutical label.
Coffee and spices: Passengers are being directed to dispose of, or pack in their checked baggage, coffee beans/ground coffee, spices and the other items listed below. These items are no longer allowed through security. Once through security, you may purchase these items and bring on the aircraft.
Alcohol: Alcoholic beverages may be carried in checked Luggage only if it contains more than 24% but less than 70% by volume of alcohol, in containers not exceeding
5 liters, with a total net quantity per person of 5 liters of such beverages.
Liquids/Aerosols/Gels (LAG): Liquids, aerosols and gels cannot be over 100 ml.(3.4oz) and must be packed into a transparent releasable plastic bag. Passengers may only carry one such bag and must present it separately from their luggage before being inspected.
Baby liquids: Baby liquids such as milk, creams, formulas, and lotions may be allowed in quantities of more than 100 ml per package, the contents of which must be verified.
Powders: Substances in the form of powder (including baby formula) may be carried in hand luggage provided that its contents are checked and do not exceed 12 ounces (350ml)

Is there a weight limit on my checked baggage? How large can my carry-on be?

Checked and carry-on baggage rules and weight limits vary by carrier. Anyone attempting to check-in excess baggage must arrive at the ticket counter a minimum of 3 hours prior to departure, or risk being denied boarding. Many airlines charge fees for checked and/or carry-on bags. Please check with your travel agent or airline. Carry-on luggage is limited to one bag per person and must be small enough to fit beneath the seat in front of you. EXCESS/OVERSIZED BAGGAGE MAY BE DENIED AT CHECK-IN and if accepted additional charges apply. Lap children under age two do not receive a separate baggage allowance. Apple Vacations accepts no liability for loss or damage to luggage and recommends a TSA approved lock.

Customs

What is the value of goods purchased in resort that I can bring back duty-free? Are there restrictions?

U.S. Customs currently imposes an $800 limit per person ($1600 for U.S. Virgin Islands) on the value of goods you can bring into the country duty-free from most countries. This amount does vary depending on the particular country to which you travel. Also, you are restricted from bringing certain types of goods (e.g. fresh fruits, vegetables) back to the U.S. Click here for more information from U.S. Customs and Border protection. Save receipts for purchases made on vacation.

Apple Vacations Documents/Tickets

My itinerary changed due to an airline-imposed schedule change. Now what?

Contact your travel agent or Apple Vacations at 1-800-517-2000 and ask to speak with the Involuntary Scheduled Air Desk. If you booked one of our Exclusive Vacation Flights, ask to speak with the Client Notification Team.

Do I need to confirm my flight times?

Confirm your flight times 24 hours before departure and again before departing for the airport, especially in the case of possible weather delays. Click here for airline phone numbers.

When will I receive my travel documents?

Electronic documents (Edocs) are emailed when the reservation is paid in full. If you prefer paper documents, you may select them during the booking process and they will be sent via first-class mail to you or your travel agent. When you receive your documents, be sure to RECONFIRM EVERYTHING - dates, gateway, destination, hotel, spelling of names to ensure they match your passport. Although charging your credit card officially confirms your reservation, you have a greater chance of avoiding costly penalties if you catch any errors within 24-hours of the reservation being created. If there are any errors or omissions, please contact us immediately. Bring a copy of your edocs with you to the airport.

Airport Check-in

How do I check in for my scheduled air flight?

In most cases, you can check in for your scheduled air flight on the airline's website within 24 hours of departure. Refer to your travel documents on how to locate your airline confirmation number. We will do our utmost to get seats assigned but unfortunately, do not have control over the scheduled air seat maps. On most of our Exclusive Vacation Flights, check-in is handled at the airport. It is always best to request seat assignments at time of booking.

How early do I need to arrive at the airport?

For international flights, we recommend arriving at the airport at least three hours prior to departure to allow time to check in and get through Security. Checking in less than one hour prior to departure WILL result denial of boarding. AV-OK Total Vacation Security does not cover this circumstance. For domestic flights, we recommend that you arrive two hours prior to travel but absolutely no later than one hour prior to travel.

Airport Parking/Park, Stay & Fly

Do you have any airport parking and airport hotel specials?

Yes we do! Click here for details.

What is a "code share" flight?

Codeshare is a partnership between airlines, where one carrier markets service and places its code on another carrier's flights.

Does Apple Vacations sell first class flights?

On select Exclusive Vacation Flights, you can choose pre-assigned seats for a fee during the booking process. If the pre-assigned seats are not available on your flight, seats are assigned directly by the carrier, or at airport check-in. For scheduled air, Apple Vacations makes every attempt to assign seats if available. Once you receive your documents, you may go to the airline website to change or select your seat. Additional fees may apply. It is always best to request seats be assigned at time of booking. We will do our utmost to get seats assigned but unfortunately, do not have control over the scheduled air seat maps.

How do I find my record locator?

For scheduled air fights, your record locator is assigned once the booking is paid in full. For Exclusive Vacation Flights, record locators are only available for Frontier Airlines, and are created once the booking is paid in full and you are within 45 days prior to departure. Record locators are not created for Exclusive Vacation Flight carriers other than Frontier Airlines. Contact us for your record locator.

Apple Vacations purchases large blocks of seats directly from the airline in order to provide you with exclusive savings! Exclusive Vacation Flights are our best value. They are non-stop, and in many cases, they are the ONLY non-stop option from select departure cities. Most offer convenient morning departures from your U.S origin city and afternoon/evening returns from resort, so you can spend more time on the beach! You can view our Exclusive Vacation Flight schedule by clicking here and entering your departure city.

Can I fly with an infant on my lap?

Children under 2 years of age at time of travel are allowed to travel on an adult’s lap. Some airlines charge for infants or infant air-related taxes. If an infant reaches the age of two at any time during the vacation, federal law requires the purchase of a separate seat for any remaining portions of the flight. If you need a car seat for your child's transfer in resort, please advise us at the time of booking so we can arrange/confirm with the destination management company. An additional fee will be added to your booking (varies by destination).

We do not recommend carrying your original passport wile in Panama. Copies of the necessary pages can be made at your hotel (usually for a nominal charge).

Booking Process: General

Do I have to pay in full at time of booking?

Deposits are NOT accepted for bookings made online. Otherwise, click here for deposit requirements. Apple Vacations accepts all major credit cards including American Express, Visa, MasterCard and Discover. When booking with an airline-sponsored credit card, benefits such as free baggage fees which may apply when booking with the airline directly WILL NOT apply to your Apple Vacation. Apple Vacations is considered a real time processor which means charges appear immediately. Most charges are seen within 24 hours of payment.

What information do I need to provide at time of booking?

Transportation Security Administration (TSA) regulations require you to provide your full name as it appears on your passport or travel documentation, date of birth, and gender at the time of booking for the purpose of watch-list screening. We will also need a contact phone number, email address for sending electronic documents and credit card payment information. Once your reservation is confirmed, the amendment and cancellation charges as explained in the Fair Trade Contract apply.

Handicapped Services/Disabilities Special Requests

I have a disability and require special assistance. What should I do?

Should you desire any special service or equipment to assist with a disability, please let us know in advance so we can advise the air carrier or resort (services vary by carrier and resort). If a special transfer is needed i.e. a lift, it is also important to let us know as soon as possible so costs can be determined and the necessary arrangements made in advance. Although we will do our best to assist you, Apple Vacations does not guarantee the availability of wheelchairs at any airport. Wheelchair accessible rooms may be requested but cannot be guaranteed. Standards vary by property and country, may not be consistent with the standards required by the Americans With Disabilities Act, and are not within the control of Apple Vacations.

Traveling with Children/Minors

Minors Traveling to Jamaica

Foreign minors under 18 years of age–if traveling with a school group, the group leader must hold a letter of invitation from the organization stating that the group will be visiting in Jamaica including the duration of stay.

I am not the parent of a child I am traveling with. Do I need any special documentation?

Mexican-born minors under 18 years of age traveling alone or with someone other than a parent or legal guardian, require special documentation to depart Mexico, even if the Minor is a Dual Mexican Citizen. For details, contact the Mexican embassy or visit: https://mx.usembassy.gov/implementation-of-mexican-regulations-regarding-minor-travel/. Although not required by the airlines, it is always a good idea to have a notarized letter of permission from the parent or legal guardian, also giving you permission to authorize medical treatment in the event of an illness or emergency.

General Information

If your reservation includes children at a hotel not accepting children, you will be denied check-in at resort and will be responsible for any additional costs. Hotels may check passports to verify that children qualify for any discounted rate, and any applicable added charges are your responsibility. Child ages apply at time of travel, not at time of booking. At select hotels, a single parent traveling with up to three children may not be charged the single supplement. The hotels reserve the right to collect the single supplement in resort, or cancel any extra room upon arrival, if the promotional policy is not used in the manner for which it was intended. "Kids stay FREE" promotions generally apply to up to two kids 12 & under when sharing a room with two paying adults. Promotions vary by hotel and are generally seasonal. Restrictions may apply. We regret that we cannot accept unaccompanied minors under 18 for any travel.

Airport/Hotel Transfers

How do I contact the Apple Vacations Representative Office in resort?

Click here for Representative Office information

What's the difference between non-stop and private transfers?

Non-stop means you're traveling with people going to the same resort, but not stopping at other resorts except for those in the same complex. Private transfers include your party only, and are non-stop. When booking online, optional private and non-stop transfers, when available, will be offered toward the end of the booking process.

How do the airport/hotel transfers work?

Your Apple Vacations Representative will be waiting for you outside of the airport terminal. They carry signs that read "Apple Vacations" as well as the name of the transfer company (Amstar DMC or others). Refer to your travel documents for specific details. Your Representative will guide you to your transfer vehicle.

Apple Vacations includes the cost of your round-trip transfers in your vacation package if you are traveling to Mexico, the Caribbean (with the exception of the Turks & Caicos Islands) or Central/South America. If you booked land-only/hotel-only, transfers are also included, but you must provide your travel agent or Apple Vacations with your flight information so that the transfer company knows when to pick you up. Transfers are not included for "Air-Only" passengers. For Hawaii, transfers on Oahu (or rental cars throughout the islands) are available but not included. Transfers are included for charter passengers flying into Punta Cana and staying in La Romana; otherwise transfers are only included when arriving at the int’l airport nearest to your resort area, but optional transfers may be available for purchase. There is an additional cost for ferry services when flying into Cancun and staying in Cozumel- please refer to your travel documentation.

If you need a car seat for your child's transfer in resort, please advise us at the time of booking so we can arrange/confirm with the destination management company. An additional fee will be added to your booking (varies by destination)

Excursions

Do you offer any tours or excursions?

We recommend booking excursions prior to departure for the best availability. For a listing of pre-bookable excursions in Mexico, the Dominican Republic, Jamaica, Costa Rica and the Hawaiian Islands, click here. Be sure that the excursions you choose are suitable for your age and physical condition. See your Apple Representative in resort to redeem pre-booked excursions. You may also book excursions after you arrive in resort. To ensure that you are choosing the best excursions operated by the most reliable independent local suppliers, be sure to book through your Apple Representative from Amstar DMC (or other independent destination management companies operating in resort and providing services to Apple Vacationers). Upon arrival you will receive an invitation to our welcome briefing hosted by your Apple Representative, where your Rep will provide you with detailed information about the excursion offerings in your destination. If you miss the briefing, your Representative is likely to have posted desk hours at your hotel, and their contact information is provided in your travel documentation. There are no refunds for any unused portion of purchased excursions. You are responsible for getting to the pick-up location for any optional excursion, unless it is noted that hotel pick-up is included.

Credit Cards

What credit cards are accepted in resort?

Visa, MasterCard and American Express cards are accepted in most destinations. Most local banks and hotels provide a currency exchange. Mexican law restricts the amount of U.S. cash that Mexican banks, hotels and retail businesses can accept. The use of U.S. credit cards is unaffected by the restrictions on cash.

Dress Codes In Resort

Are there dress codes at my resort?

Many resorts have dress code requirements for dinner such as collared shirts and long pants for men, and no beachwear. Ask your travel agent or visit the hotel's website.

Gratuities

Is tipping required at all-inclusive resorts?

Gratuities are included, but additional tipping for exceptional service is at your discretion and much appreciated.

Meal Plans

What is the difference between All-Inclusive, Inclusive and European Plans?

While hotel plans vary, all-inclusive resorts include all meals and beverages (soft and alcoholic), daily activities, nightly entertainment, gratuities and in most instances, non-motorized watersports. At select resorts, all-inclusive type plans are referred to as Unlimited-Luxury, Unlimited Fun, Endless Privileges or Super-Inclusive. Resorts labeled "Inclusive" include all meals and beverages (soft and alcoholic). European Plans do not include meals or beverages.

Hotel Check In/Check Out

What are hotel check-in and check-out times?

Standard hotel check-in is 3:00pm and standard hotel check-out is mid-day. At the discretion of the hotel, a room MAY be made available for storing hand baggage or for changing prior to departure. It is advisable to pack all valuables, medicines and swimwear in your carry-on bag so that if immediate check-in is not available you can do a quick change and start your vacation.

Rental Cars - General

Does Apple Vacations offer rental cars?

Rental cars are offered in Hawaii, ski/mountain destinations, and Costa Rica self-drive programs. We do not recommend renting cars in Mexico and the Caribbean. Taxi's are plentiful and round-trip airport/hotel transfers are included in vacation packages (including "land only" vacations if arrival/departure times are provided). Transfers are not included on "air only".

Rental Cars - Costa Rica Self-Drive Programs

What requirements or identification do I need when picking-up my rental car in Costa Rica?

Costa Rica rental car information can be found on our website under the self-drive program tour details. Documents and identification may vary. You will need your passport and your travel documents. Click here for details.

What are the rates and requirements for renting a car in Hawaii?

All taxes and surcharges are included in Dollar Rental Car rates for the Hawaiian Islands. Passengers are responsible for gas, insurance if accepted, additional driver fees, underage driver fees and drop fees if the vehicle is returned to a different location than where it was picked up. Any additional equipment that is requested such as GPS, luggage racks or car seats are payable directly to Dollar Rental Car. If that amount is not cleared on the credit card, the rental can be denied.

Health & Safety Tips for Travelers

What can I do to help ensure my safety while on vacation?

Apple Vacations strongly recommends that you visit the U.S. Department of State website http://travel.state.gov/, as well as the Centers for Disease Control and Prevention website, https://www.cdc.gov/, which include important information on foreign travel. Use common sense while vacationing abroad. For example, if you choose to drink alcohol, do so in moderation. In addition, be cognizant of the effects of mixing alcohol and certain medications. Should someone in your party become ill while on vacation, alert the resort front desk for immediate medical attention or call the emergency number provided by the resort. Also advise your Apple Representative as soon as possible, who may be able to provide assistance. If you have medical issues or concerns about medical services, Apple Vacations urges you to contact your hotel with specific questions. Please be aware that medical standards and training of emergency responders and resort medical facilities vary greatly, and health care abroad may not be the same as you might expect at home. It may be standard policy for hospitals and medical providers abroad to require cash payment upfront for services. Check with your insurance provider regarding claims for reimbursement. Sports and aquatic equipment, especially scuba gear, may not meet U.S. safety standards and many resort pools and beaches may lack lifeguards. Balcony railing heights in Mexico are lower than the mandated heights in the United States, and also may be lower in other countries. Low balcony railings create a risk of falls, which may result in serious injury or death. In tropical climates, we strongly recommend the use of insect repellent, especially during rainy season; seek shade in order to avoid heat exhaustion, and stay hydrated. Bottled drinking water is recommended.
