Please fill out the completed certificates/trade agreements in their entirety or they will be sent back and delay the confirmation process. Your forms should be submitted at least 60 days prior to your first requested departure travel date. Please choose your 3 choices for travel dates in chronological order. Do not send any money with your certificate, you will be invoiced when you are confirmed. Please print legibly so names are booked correctly and we can respond to correct e-mails. Names on your reservation must appear as they are shown on your passport(s) or you will be denied boarding.
If you have questions regarding a specific hotel, please visit our website at www.applevacations.com where you can view information regarding destination/hotel information/excursions and view photos on the website. You must take the prize as awarded on your certificate. The certificates/trade agreements are hotel/destination specific and cannot be changed.
Trip insurance is mandatory for all travelers. At the time of printing, the rate is $74.99 per person up to 4 night duration and $104.99 per person for 5-7 night duration. The insurance covers Plan 430, part B only (please disregard part A) and can be viewed online at www.tripmate.com and submit Plan A430.
Please log onto www.applevacations.com to check rates. You can pull up flights, dates and hotel rates. Flights must be booked on an Apple Vacations charter flight/best value flights such as Frontier Airlines, XTRA Airways or any other Apple Vacations designated charter flight service. Charter flights cannot be booked in "X" class or any other promotional fare class. Scheduled carriers such as American, Delta, United, etc. cannot be used. You can add extra nights/persons on your prize certificate, and you will be invoiced for the difference. You can get rates on our website at www.applevacations.com.
For Trade Agreements, If you go over the amount specified on your prize/trade agreement, you will be invoiced the difference. All travelers pay for the departure taxes/fuel surcharge insurance/baggage fees plus any differences over the prize/trade amount. The trade amount can only be used for the charter air/Best Value flights and/or hotel, no excursions, taxes, insurance or baggage fees can be applied towards the amount specified on the Trade Agreement.
Once you have chosen your departure dates/hotel, you can mail the original Reservation Form/Trade Agreement as designated on your form. Please retain a copy for your records. Due to the volume of prizes awarded, receipts of delivery will not be sent. Confirmations are processed within 30 days of your first requested travel date; you will not hear from us prior to the 30 days. If you are within the 30 day limit and have not received any correspondence from us, please email or call the Promotions Dept. If you submitted an email address, please check your emails for correspondence from Apple Vacations. You will receive a confirmation letter/invoice once you are confirmed to your email address or if you do not have an email address we will send via regular mail.
Prize certificates that are awarded for 2 adults/2 children (12 years old and under) and want to replace the children with adult travelers can be requested by adding their names and dates of birth. The adult travelers will be invoiced for the hotel portion, plus the departure taxes/fees including baggage and insurance. If you would like an extra room for the adults, please attach a note. Please note some hotels will not accommodate 4 adults in one room so a second room will need to be purchased at your expense. Any additional people you want to take with you (not included on the prize), can be booked thru a travel agent or online at www.applevacations.com.
All passengers are responsible for their own proper proof of citizenship. The proper proof of citizenship for U.S. Citizens is a valid U.S. Passport and must be valid at least 3 months beyond your travel date. If you are not a U.S. citizen, please contact the tourist board/consulate to check the entry requirements for the country you are visiting. Click here for more detailed information regarding proof of citizenship.
All passengers are responsible for payment of U.S. and foreign departure taxes, airport/security fees/fuel surcharge and baggage fees. The departure taxes vary depending on gateway/destination and are subject to change. At time of posting, the departure taxes are approximately $280.00 - $306.00 per person depending on the destination. Your confirmation letter/invoice will show the appropriate charges.
E-Docs are an electronic version of your itinerary and will be sent to your email address provided once your reservation is paid in full. Please review and print the e-Docs - you will use the E-Docs for check-in. If no e-mail address is available, vouchers will be mailed to you. You will not receive any hard airline tickets. Boarding passes will be issued at check-in. You cannot obtain boarding passes online.
When you arrive at your departure airport you will show your eDocs along with your valid passport and upon verification from the agent, you will receive your boarding pass. Upon arrival at your destination, you will need to clear Customs/Immigrations. After clearing Customs, if traveling to Cancun, you will proceed outside the terminal where you will be greeted by an Apple Representative whom will direct you to your transfer van. For Punta Cana, the Apple Representative has a desk inside the terminal prior to the exit and he/she will give you the transfer information. The Apple Representatives are easily spotted and wear bright floral shirts/name tag. He/she will direct you to your transport van to take you to your hotel. The Apple Representative will accompany you in the transfer van and provide important information about your destination, hotel briefing time, excursions, etc.
There is also an Apple Vacations/Notice Board (where the Rep's hours are posted) in your hotel, usually near the lobby area. If you encounter any problems or have any questions in resort, please contact the Apple Representative or if the Representative is not available, please call the Apple Vacations resort office number located on your e-Docs/vouchers. The Apple Representative holds a brief meeting at your hotel and will announce the time of the meeting. Please check with the Apple Representative the day PRIOR to your departure for your pick-up time back to the airport. The hours will also be posted on the Apple Vacations Notice Board.
Please Note for travel to Mexico: The Mexican government passed a law effective 9/14/2010 where the use of American Dollars CASH to make purchases in Mexico will be limited as follows:
1. Hotels and Exchange Booths will only be able to change a maximum of $1,500 USD CASH per person per month into Mexican Pesos. Previously there was no limit.
2. Businesses will only be able to accept a maximum of $100 USD CASH per transaction - but the number of transactions per customer are not restricted.
3. Certain businesses may not be able to, or may choose not to accept American Dollars CASH for any purchase at all (this may include shops etc).
If a customer wants to purchase from Amstar (for example) a tour worth $139 US per person, you will only be able to pay $100 USD of this amount in USD CASH and the remainder will need to be in another form of payment (credit card, Mexican Pesos cash, etc). It is not recommended to carry large amounts of American Dollars cash to Mexico, but should consider either using a Credit Card, taking Mexican Pesos, cash, or withdrawing money locally in Mexican Pesos.
For travel to Punta Cana, there is a tourist card fee of $10.00 (U S dollars only) payable on arrival at Punta Cana airport (no checks or credit cards will be accepted). Or you can pre-purchase online at https://www.dgli.gov.do/Tturistaweb/home.
Hotels' peak season is February through April and again in July and August. Please keep in mind that hotels are extremely full at this time and inventory may not be available to honor your request. Apple Vacations will make every effort to confirm your requests. Please be prepared to offer alternative departure dates if your initial dates are not available.
Typically, the dates that are blacked out for travel are the 8 major holidays - Christmas, New Years, President's weekend, Easter, Memorial Day, 4th of July, Labor Day and Thanksgiving. Departures are not permitted 5 days before or 5 days after the holiday. Black-out dates can also vary depending on the resort you have won.
You do not need to confirm your seats, but you do need to call the flight number found on your vouchers prior to departing for the airport for any last minute changes. A phone number will be on the bottom of your vouchers. Please call this number to ensure your flight is departing on time especially during inclement weather.
Our website will also have a Travel Advisory if inclement weather occurs.
Check-in starts 2 hours prior to departure. Please arrive at the airport at least 2 hours prior to the departure time. Late arrival to the airport could result in being denied boarding and loss of trip. Check-in closes 1 hour prior to departure and you will be denied boarding if you arrive within that time frame. All seating is assigned at the airport.
Once you are booked, no changes are allowed. The prize/trade is nonrefundable, not transferable and has no cash value. If you miss your flight, or are a No-Show or are denied boarding for any reason including not having proper proof of citizenship will result in loss of trip/prize.
You will be issued a government 1099 tax from the radio station/event. If you have any questions about the form, please contact the person whom awarded you the prize.
